Qualification for success on an Office Administrator

I am Parameshwari. Currently I am in Office Administration- Health Services program at Sheridan College. I’ve chosen this topic because qualification is known as the key to be successful and skillful in the workplace as an Office Administrator. Therefore, I think this is an interested topic that have a lot of opinions and ideas to share.

You might think what could you contribute to an Office Administrative in Health Services work place or environment? There are many things one thing to look at is your schooling. You are learning new information about the health field and somethings may be very new that some medical settings are not taking advantage of. Giving that information can be very helpful and you start to make a good name for yourself. Remember when patients are coming into the office they may be depressed, getting the results of a test they might not be looking for ward to, or it could be old Mrs. Smith who doesn’t have an appointment but might be lonely and is out and about and stopped in for the second time this week to say hi and chat. To all of these the ones the contribution of a big positive smile might just help there day be a bit brighter. According to work.chron.com “The smooth operation of a doctor’s office, a clinic or a hospital requires the hard work of a great number of behind-the-scenes support personnel as well as doctors, nurses and dozens of other specialized health care professionals. Medical office assistants perform a wide variety of support duties in health care settings. Clinical medical assistants help doctors and nurses with basic lab tests, sterilizing tools, prepping supplies, getting patients ready for X-rays and other treatment-related tasks. Administrative medical assistants keep records, help patients fill out forms and code procedures for insurance reimbursement, among other office tasks”[1]. Go into work with your knowledge, understanding, and positive attitude, ready to work and you will make a great contribution to your team.

Privacy in the Workplace

Privacy

Why is privacy important?

Privacy plays an important part in the working field. Whether it be privacy for clients or privacy for the company. Privacy in the organizations should be acknowledge especially when it comes to the cameras and business communication. Office Administrators are trained to do their jobs professionally. Hence, I think they should follow their skills; along with the company rules and regulations. By so doing this will help to reduce the risk of mishaps and danger to the company. Even if we learn about this in the office administration program; when we go to the interview before getting hired at the orientation they guide us though the company rules. If the company privacy is not kept well it can cause many things to happen that will be bad for the company. Company’s policy and privacy should be kept confidential.

It is proven by (Anthony & Stablein, 2016) “Identifying responsibility in the organization overall suggests it is the leadership rather than the members of the organization who are responsible for protecting patient privacy.” Of course, leadership can lead to mishap and cause information not to flow. In that case poor communication can develop lack of privacy. And even talking too much can may information reach out to who it not supposed to reach out to. For that reason, when working in healthcare it is practiced that information should only be given to the patients. Most times family come to get information; but it should not be shared. In addition, it is important to know that other privacy is important along with the company privacy. Hence, it should be maintained for safety of everyone. Privacy should be promised in the workplace and out of the workplace.

Dress Code

Dress Code

When working as an Office Administrator in Health Services there is a clear dress code. Regardless if you are working in a doctor’s office, a clinic or a hospital the proper work dress is usually scrubs or proper business attire. I think this is great your dress is always neat, comfortable, and work environment ready. You don’t have to worry about dangly earrings, other hanging jewelry, and baggy clothing to get in the way when you are faced with a busy day at work. According to Halton Healthcare they say “All Healthcare Services employees, volunteers and physicians will maintain a professional, well groomed appearance at work. Clothing and grooming of all personnel should contribute to a positive impression of the Hospital while maintaining safety standards and adhering to the following principles.

  • Dress to prevent the spread of infection to others
  • Incorporate occupational health and safety recommendations for appropriate attire while in the Hospital clinic setting
  • Dress in such a way that work can be completed efficiently
  • Dress appropriate to the clinical work situation while recognizing cultural norms and religious requirements
  • Dress to portray a competent professional image through workplace attire

The manager/supervisor will discuss the uniform and dress code policy with new employees at the time of hire” [1].

Most Hospitals, Doctor’s Office’s, and Clinics will have a dress code for you to follow by. Dressing properly as an Office Administrator in Health Services shows that you respect your position and workplace.

Places to work

Do you know where are some of the places you can work after completing your Office Administration diploma?

After completing the Office Administration program and achieving a diploma there are several places you can work. I know for a fact that everyone is usually worried about jobs. But after this program jobs are offered worldwide and there are many opportunities. Office Administrators can work as a Receptionist, Office Administrator, Office Assistant, Administrative or Executive Assistant, Human Resources Clerk, Product Information Coordinator, Project Manager Assistant, Record Management Coordinator, etc. For those who done the Office Administration- Health Service program jobs are opened in Clinics, Hospitals, etc.  I Would like to share this occupational video where it talked about job opportunities https://youtu.be/LqCBSaguYwU  (NorthWestStateCC, 2017).

According to (Grisson, Loeb, & Mitani, 2015) “To understand the association between time management and job performance, researchers have investigated a series of possible linkages. Most clearly, time management helps improve job efficiency by enabling professionals to allocate adequate time to their job’s most important tasks”. As long as you have the knowledge and skills positions are opened for jobs. Hence, time management is important in being in the work place. Major of time individuals do programs and when they are done there is only one type of position open. But doing the Office Administration programs there are several jobs available. There are many places out there to work once you put effort into the course. Also, from the placement in the course you will have hands on and experience. With possibility of the company you do your placement and how you performed you can also get hired there. Below is a picture giving some ideas of Office Administrators.

Courses Office Administrators Need

Courses needed to work as an Office Administrator

Courses are important to be taken from the Office Administration program. In order to have knowledge and attitude for the Office Administrator job. When you have the courses, it guides in understanding and defining the crucial roles of an Office Administrator.  Courses are being offered by colleges and universities. Instructors explain and teach all the materials that need to be known in order to be successful in the office as a worker. An average there are about twenty-four courses to be taken in order to be successful and received a diploma. There are six main and important courses.

Business Communication is known as sharing of information in the organisation relating to the business. According to (Knight, 2016) “emphasized the value of conversation; this latter article also includes speaking on the telephone as one of five essential communication skills, with meeting participation, team communication, and proper grammar joining conversation as crucial for company success”. With that being said it is important to communicate professionally. When it comes to Keyboard and Typing Skills; typing above forty words per minute is a bonus. It is a must that you should be able to type fast and do transcribing. Additionally, Introduction to Word Processing, Excel, Internet, and E-mail are essential to have as qualification to work as an Office Administrator. Jobs opportunities are opened worldwide for this position. Hence, to be sure of having a job in this field it is required to take these courses so that you will have to experience and advantage. According to (Giesbrecht, Schenk, & Schwabe, 2015) “teachers as well as their varying work experiences and educational backgrounds can strongly affect knowledge exchange. Ultimately, the resulting competences of employees can vary greatly.”

Experiences Needed

Today I will be looking into the experiences needed to become a successful Office Administrator in Health Services. Everyone wants to be successful at their career. What is success? According to The Merriam-Webster’s Collegiate Dictionary (Eleventh Edition) “Success is: a degree or measure of succeeding; favorable or desired outcome; the attainment of wealth, favour, or eminence; one that succeeds; and the definition it gives for Successful is: resulting or terminating in success; gaining or having gained success”[1]. Now let’s look into the experience needed to be successful in this field. You will have to obtain some kind of schooling. Whether you attend College or University both will give you a bright future in becoming a successful Office Administrator in Health Services. In my experience attending Sheridan College in the Office Administration Health Services Program, it is really giving me the Knowledge I need to go into  this as a career feeling confident.

According to (O’ Connor, 2018) “Job satisfaction has long been recognized and studied as an important factor across a variety of fields due to its effect on an individual’s organizational commitment, performance, and intention to stay within an organization. Actually, it has been stated that ensuring job satisfaction is one of the most important tasks of an organization.” Remember when wanting to become an Office Administrator in Health Service, make sure you research into the program and know all that it entails so you can get the best experience out of it and be successful.
